Privacy Policy

This Privacy Policy describes how Pearland AI ("we") collects, uses, and shares information when you use hoasavers.com (the "Service"). It is part of the Terms of Service. We've tried to keep it short and plain. If anything is unclear, email support@hoasavers.com.
1. What we collect
HOA Savers does not require an account. We collect only what we need to generate and deliver your packet:
- Intake information you enter. Your name, email address, property address, county, HOA name, management company, violation type and dates, fine amount, your yes/no/unsure answers to the procedural questions, and the free-text description of your situation.
- Generated documents. The procedural report and the PDF packet we create from your inputs.
- Purchase data. The fact and amount of your purchase, the Stripe checkout session ID, and the email associated with the charge. We never see or store your card number, CVV, expiration date, or bank details — those go directly to Stripe under its own PCI-DSS and privacy controls.
- Diagnostic logs. Standard server logs (IP address, user-agent, request path, response code, timestamp) for security and error tracing.
2. How we use it
- To provide the Service: screen your answers against Texas Property Code Chapter 209, generate your documents, build and deliver the PDF, and process your payment.
- To deliver your download link and any transactional notices by email.
- To maintain, secure, and improve the Service, and to detect and prevent fraud and abuse.
- To comply with legal obligations and enforce our agreements.
3. AI processing of your information
To generate the letters in your packet, the intake details you provide are sent to our AI provider, Anthropic (the Claude API), which returns the drafted document text. Anthropic processes this data as our service provider to perform the generation. We do not use your information to train AI models, and we instruct our providers not to do so. Because the documents are produced by an automated model, please review them carefully — see the Disclaimer.
4. What we do not do
- We do not sell your personal data.
- We do not rent or share your contact information with advertisers or data brokers.
- We do not run third-party advertising trackers or cross-site analytics that fingerprint you across the web.
5. Who we share with (subprocessors)
The Service runs on these providers, each with its own privacy practices:
- Anthropic — AI language model used to generate document text. Receives the intake details needed to draft your letters. anthropic.com/legal/privacy.
- Stripe — payment processing. Receives your email, the payment amount, and the card data you submit at checkout. stripe.com/privacy.
- Microsoft 365 / Microsoft Graph — email delivery (your download link and transactional notices). Receives your email address and the message body. privacy.microsoft.com.
- DigitalOcean — server hosting and storage. Holds the database and the rendered PDF at rest. digitalocean.com/legal/privacy-policy.
We may also disclose information when required by valid legal process, to enforce our Terms, to protect the rights or safety of any person, or in connection with a merger, acquisition, or sale of substantially all of our assets (with notice of the change).
6. Data retention
- Generated packets and download links are short-lived: download links expire after 24 hours, and we purge the generated PDF files on or shortly after expiry.
- Intake details are retained only as long as needed to generate and deliver your packet and to handle any support or refund request, then minimized or deleted.
- Order and payment records are retained for accounting, tax, and fraud-prevention purposes (typically up to 7 years), and on Stripe's side under Stripe's own policies.
- Server logs are retained for a limited period for security and diagnostics, then aggregated or deleted.
7. Cookies and analytics
We use only the minimal cookies and local browser storage needed to operate the Service — for example, to remember your in-progress intake answers on your own device. We do not load third-party advertising cookies. If we use analytics, it is a privacy-friendly, cookieless tool (Plausible) that measures aggregate traffic only — it sets no cookies and does not track you across other websites.
8. Your choices and rights
You can request access, correction, or deletion of your information by emailing support@hoasavers.com. We will respond within 30 days. Some records (Stripe-side payment records and fraud-prevention or audit logs required by law) may be retained beyond a deletion request to the extent legally required.
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to request deletion, and the right not to be discriminated against for exercising these rights. We do not "sell" personal information as that term is defined under the CCPA. To exercise these rights, email the address above and identify yourself as a California resident.
9. Security
We host the Service on managed infrastructure with TLS for data in transit, access controls, and short-lived storage of generated documents. No system is perfectly secure. If we ever experience a breach affecting your data, we will notify affected users in accordance with applicable law.
10. Children
The Service is not directed to anyone under 18 and is not intended for their use. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
11. Changes
We may update this Privacy Policy. The "Last updated" date above will reflect any change, and material changes will be noted on this page.
